|Additional Position Information: * Represents Location Pay for full-time appointees. Hours of work: 9AM -5PM; Days of week: Monday - Friday; Hours per week: 37.5|
Brief Description of Duties:
Under the supervision of the Registrar and Office Manager, this individual performs a variety of administrative duties including, but not limited to; greeting visitors, providing answers to inquiries, referring questions appropriately, answering the main phone line and taking messages when necessary. Must be able to multi-task and possess good oral and written communication and customer services skills. Is a flexible team player who is able to maintain a professional appearance and demeanor. • Meets and greets the public, inc1uding current and former students, faculty, staff, and other visitors, in a professional and courteous manner either in person, or via email or telephone communications. Strict adherence to guidelines for disclosing student information in accordance with Downstate's policy and the Family Educational Rights and Privacy Act (FERPA) is a must. The Registrar Representative must be knowledgeable of the documents and processes used within the Office of the Registrar. Communicates with other departments such as the Admissions Office and the Bursars Office as well as the various schools within Downstate to resolve and or facilitate student registration, transcript ordering, collection of student information as needed. • Handle transcript requests received by email, phone, and walk-ins. Student inquiries differ in nature but are primarily on how to request transcripts or assistance in resolving various issues that might be preventing the release of their transcript. • Respond to calls in a timely manner. All calls must be returned within 24 hours. • Communicate effectively with various Downstate offices to expedite processing of requests when needed. • Manage difficult customers in a professional and courteous manner. Must have excellent communication skills. • Responsible for giving instructions on how to complete the various Registrar forms as well as collecting and entering the information into our student database, Ellucian Banner. • Handles student address changes. • Responsible for receipt and distribution of incoming and outgoing documents for the department. Generates memorandums, letters, and emails, and using Microsoft Word and/or Email software. • Provides support to management as needed to update student information in the student information system. Must be able to navigate through various system screens to make these adjustments efficiently and accurately.

|All successful candidates must undergo various background checks, maintain credentials required for continued employment and adhere to the SUNY-DMC UHB Principles of Behavior. Clinical Faculty and Allied Health professionals must receive and maintain Medical Board authorization.|
REQUIRED: An Associate's degree or its equivalent.1-3 years of relevant experience. Proficiency with Microsoft office applications. Excellent oral and written communication skills. Must be a supportive team member, contribute to and be an example of teamwork and team concept PREFERRED: Bachelor's degree
