Brief Description of Duties:
The 340b Pharmacy Coordinator will provide oversight and maintenance of 340B split billing software (SentryDS) and Pharmacy contracts that include operational management of all 340B transactions. SPECIFIC DUTIES INCLUDE: Collaborate with Pharmacy, Finance, Corporate Compliance, and IT departments on issues related to the 340B program. Reconcile 340B purchases and invoices for contracted outpatient pharmacies to ensure funds are proper allocated to corresponding accounts. Assure that the 340B transactions assignments are completed and that 340B contracted pharmacy compliance audits are up to date. Prepare for HRSA audit, annual mock audits, and gather and provide requested data prior to an audit. Look up 340B dispensations for accuracy during a HRSA audit or a mock audit. Able to navigate through Allscripts (electronic medical record), SentryDS database, Craneware (finance), and Lawson (inventory management) systems investigate test dispensations. Escort auditors and consultants during a 340B audit. Answer auditor queries and follow up on questions as needed. Work with the Pharmacy Administration to regularly review and submit updated 340B policies and procedures. Define actions to correct issues related to dispensation and purchase data in SentryDS that could affect 340B eligibility. Work with hospital IT and Finance department to confirm that charge files that are extracted from Allscripts and other ancillary systems are sent to SentryDS containing appropriate information that is needed for the SentryDS to process the data and remain compliant. Map NDC, Charge description master (CDM) and Location codes in SentryDS and review codes that are already mapped to confirm compliance and to also make sure that eligibility is not lost. Review SentryDS software reports and report any areas where we are not maximizing on 340B benefits. Review SentryDS software Virtual inventory, Potential Savings and Diversion reports daily and look for CDM and NDC outliers where we might be capturing too much or losing eligibility. Create and send 340B drug spend reports to the Director of Pharmacy Investigate all purchasing concerns when an order is processed in SentinelRCM. This can include investigating price file discrepancies, Cardinal Item Number (CIN) discrepancies, software downtime and delays, wholesaler-Sentry interface errors, etc. Confirm that these configurations are the best options to achieve compliance as well as maximizing our benefit. Export charges and purchasing data into spreadsheets and track data for outliers and potential issues. Utilize and create pivot tables to filter out and examine information feeding into Sentry that might be a compliance issue or where that may be missed cost savings opportunities. Review new information related to 340B. Sign up for webinars hosted by, but not limited to, Apexus, SNHPA and HRSA that are related to 340B.


All successful candidates must undergo various background checks, maintain credentials required for continued employment and adhere to the SUNY-DMC UHB Principles of Behavior.   Clinical Faculty and Allied Health professionals must receive and maintain Medical Board authorization.
REQUIRED: AA degree or 4 year college degree (BS in Accounting, Finance, Supply Chain, or Healthcare Administration). PREFERRED: Pharmacy technician experience, pharmacy purchasing or inventory management in a hospital or clinic. Exceptional database and spreadsheet knowledge, proficient in math, pharmacy calculations and use of excel formulas. Proficient with MS Office (Excel, Outlook, PowerPoint, Word, Access), electronic medical records, pharmacy systems, and internet navigation. Experience with analyzing and reporting data in order to identify issues, trends, or exceptions to drive improvement of results and find solutions. Experience with 340B program regulatory and billing/coding compliance, project management. Must interact well with people, and have excellent written and verbal communication skills.
