The Office of Government and Community Relations at SUNY Downstate Health Sciences University is seeking a full time Senior Staff Assistant. The successful candidate will:
- The individual is assigned functional and administrative task within the Office of Communications and Marketing and Government and Constituent Relations. Individual receives direct supervision from the AVP, Constituent Relations and Director, Governmental Relations.
- Provides administrative support to all programs and initiatives.
- Responsible for day to day office management.
- Manage and coordinate daily and monthly calendars of activities and appointments.
- Generate, process and file all internal and external correspondence relative to special events, conferences, travel, elected officials, community concerns and inquiries.
- Receives inquiries and complaints; coordinates with others, as necessary, to obtain the required information.
- Schedules and coordinates internal and external meetings and events, trainings, seminars, appointments, meetings, and travel arrangements.
- Receives visitors and receives calls for information requests, directing calls or relaying information to the appropriate parties.
- Coordinate clerical work activities; organize files and correspondence; determine work priorities and method. Manage sensitive and confidential information, office tasks, and special assignments/ projects, as needed.
- Opens, sorts and distributes mail
- Coordinate activities to ensure timely submissions of documents for major projects
- Take dictation, which may include minutes of meetings and transcribes notes into finished documents.
- Compose a variety of letters, memoranda, instructions and other documents on own initiative or from brief notes or verbal instruction.
- Support office activities and may be assigned clerical and secretarial relief activities.
- Perform other duties as assigned

DUTIES AND RESPONSIBILITIES ARE NOT LIMITED TO THE ABOVE POSITION DESCRIPTION

All successful candidates must undergo various background checks, maintain credentials required for continued employment and adhere to the SUNY-DMC UHB Principles of Behavior.   Clinical Faculty and Allied Health professionals must receive and maintain Medical Board authorization.
Qualifications:
- A Bachelor's Degree and two (2) years of responsible administrative experience.
- Advanced educational attainment or specialized experience will be required as applicable.
